Overview

With 40 programs and service sites spanning several counties, United Cerebral Palsy of Los Angeles, Ventura & Santa Barbara Counties (UCPLA) is the largest nonprofit provider of direct care services for individuals with developmental and intellectual disabilities in Southern California.

 

UCPLA is hiring an Accounting Assistant to process and reconcile a wide variety of accounting documents such as a high volume of invoices, invoice allocations, vendor statements, and to assist with vendor/supply research. This position will understand our GL account structure and code invoices, prepare and process documents to disburse funds, as well as compile and review information for accuracy. This work is accomplished by applying knowledge of accounting terminology and using spreadsheets and/or automated accounting systems.

Responsibilities

  • Learns and understands the Accounts Payable financial system in-depth; codes invoices accurately utilizing two Charts of Accounts used with 23 unique corporations. Works with AP Vendor Master File by adding new vendors as necessary and monitoring W-9/1099 processing
  • Assures that the work quality in the AP area meets quality and standards by reviewing the work of the AP Clerk for accuracy and proper completion, and monitoring output
  • Explains appropriate work instructions to AP Clerk, and interprets/applies instructions and/or guidelines to resolve work issues
  • Reviews invoices for pricing, signature approvals, back-up documentation and researches any discrepancies
  • Works in collaboration with the AP Clerk to batch high-volume of invoices daily, and completes data entry into AP Financial System
  • Works in collaboration with AP Clerk to run in-house weekly check runs, sign with check signing machine, and process for mailing
  • Prepares manual payments by verifying documentation and check requests as needed
  • Reconciles, allocates and codes all expenses related to UCPLA vendor credit accounts
  • Assists with AP month-end processes, including but not limited to clearing cashed checks and running outstanding check register
  • Reconciles and/or balances financial transactions and accounts
  • Communicates with and takes calls from vendors regarding invoices/statements. Collaborates with AR Manager to reconcile client pharmacy accounts to GL monthly
  • Collaborates with AP Manager to prepare specialized financial reports by collecting, analyzing and summarizing account information and trends
  • Assists AP Manager with Consultant and Vendor Agreement binder, keeping it current and organized
  • Assists with process to convert to new accounting software system as it relates to AP
  • Works in collaboration with Compliance Accountant to update various revenue schedules related to the HUD Corporations monthly
  • Assists Compliance Manager to make intercompany bank transfers and record the required journal entries; assists with monthly bank reconciliations
  • Maintains customer confidence and protects UCPLA operations by keeping financial information confidential
  • Performs other duties as assigned to meet department and business needs, including fiscal year-end tasks

Qualifications

  • High School diploma or equivalent; AA and/or BA degree preferred
  • Minimum three to five years' work experience with increasing level of direct hands-on AP experience
  • Recent non-profit work experience is preferred
  • Ability to communicate effectively in English, both orally and in writing
  • The ability to add, subtract, multiply, and divide quickly and correctly
  • Must have highly competent working knowledge of MS Word and Excel
  • Excellent time management skills
  • Detail-oriented, and ability to follow-through on a consistent basis
