    With 40 programs and service sites spanning several counties, United Cerebral Palsy of Los Angeles, Ventura & Santa Barbara Counties (UCPLA) is the largest nonprofit provider of direct care services for individuals with developmental and intellectual disabilities in Southern California.

     

    UCPLA is hiring an Administrative Assistant who will be responsible for providing executive level administrative support to the Chief Operating Officer (COO) and the Chief Financial Officer (CFO) while managing very confidential material and information. 

    Responsibilities

     

    • Manages calendars; schedules and coordinates meetings. Meets, greets, and escorts attendees
    • Drafts agendas and other meeting documents
    • Prepares correspondence, communications, reports, and presentations
    • Establishes and maintains filing systems, both paper and electronic
    • Copies, prints, scans, and faxes various material
    • Assists with creating Board/Committee packets
    • Records minutes at some Board and Committee meetings, as well as other meetings
    • Assists with phone calls, email management, and daily task management
    • Manages logistics of corporate office events, such as quarterly meetings, parties, luncheons, and catering
    • Maintains Corporate Organization Chart
    • Assists with Governing Body responsibilities of COO, principally in monitoring and communicating maintenance issues and updating logs
    • Assists with creating and updating policies/procedures, and documenting processes
    • Oversees annual organization of corporate storage area in coordination with key stakeholders
    • Assists with a variety of special projects 
    • Maintains various schedules and logs
    • Assists with miscellaneous administrative support as required
    • Performs other duties as assigned to meet department and/or business needs

    Qualifications

     

    • High School diploma or equivalent; AA and/or BA degree preferred 
    • A minimum of three to five years of experience as an administrative or executive assistant
    • Typing speed of 65+ wpm (adjusted)
    • Excellent command of the English language, including both verbal and writing skills, and ability to develop professional looking documents
    • Excellent knowledge of technology including Word, Excel, Outlook, PowerPoint, Publisher, Visio, Office 365, One Drive, Internet, and ability to navigate “web-based” document submission requirements
    • Strong attention to detail and accuracy
    • Strong initiative, follow-through, problem-solving, critical thinking, and ability to work collaboratively as part of a team in a deadline driven environment
    • Strong organizational and time-management skills
    • Able to discreetly handle sensitive and confidential information
    • Able to work occasional evenings to attend meetings
    • Experience working for a non-profit organization is preferred
